Voice Data Processing and AI Consultant Audio
A. Collection and Definition of Voice Data
- When you interact with our AI voice consultant, we collect audio recordings of your voice and generate digital text transcriptions of those conversations.
- We may also generate a digital representation of your unique vocal characteristics (a "voiceprint" or "voice embedding") strictly to facilitate real-time, responsive dialogue. This is considered biometric information under applicable data protection laws.
B. Purpose and Use of Audio Data
- Service Delivery: Your voice data is processed in real-time to allow the AI consultant to understand your queries and provide accurate university admission guidance.
- AI Model Training: We may use de-identified or anonymized audio recordings and text transcriptions to train and improve our proprietary artificial intelligence models. Automated redaction tools are used to strip sensitive personal information from these transcripts before they are used for training.
C. Data Security and Storage
- Encryption: All voice data is encrypted both in transit (while you are speaking to the AI) and at rest (when stored on our secure cloud servers).
- Access Controls: Access to stored audio data and transcripts is strictly limited to authorized personnel who require it for system maintenance or support.
D. Data Retention and Deletion
- We practice data minimization by only keeping audio recordings for as long as is necessary to provide you with the service and improve our platform.
- If you delete your account or submit a deletion request, we will immediately delete any identifiable audio recordings and associated transcripts. We will also initiate the permanent deletion of any de-identified voiceprint templates within 30 days.
